Buying a commercial coffee machine

Some businesses prefer to own their office equipment and prefer not to deal with lease agreements and contracts. If you can afford to buy outright, it’s just a case of which machine fits your needs and budget. This is a large upfront cost, but you won’t pay any continual monthly costs on the asset.

Leasing a commercial coffee machine

You may consider leasing an office coffee machine. This is a great option for smaller businesses, as there are minimal upfront costs.  It also means you will pay a predictable monthly bill. As coffee machines are considered office equipment, they are often allowable as a 100% tax-relief business expense. They can be offset against your pre-tax profit when leased or rented. You will own the machine at the end of the term or you can get a brand new machine and continue your lease.

Renting a commercial coffee machine

Renting is great for smaller companies who don’t have the upfront capital to invest in a coffee machine. It’s also great for businesses with a changing workforce, for instance in seasonal industries. At the end of your rental period, you do not own the coffee machine, and it must be returned to the supplier. It can also be more expensive in the long run to rent rather than buy. If it is something you know your office needs and will use for a long time, look to buy or lease.

There is nothing sadder than a coffee machine without coffee beans, so you’ll have to keep it topped up.   You need to consider the cost of coffee throughout the month. Look at your existing office coffee consumption and work out the average cups per day. Your coffee machine supplier should be able to tell you how much coffee the machine uses and therefore how often you’ll need to replenish it. From here, you can work out the average monthly cost of coffee. 

Ongoing Maintenance & Repairs

It’s not just about the machine or the coffee, you need to consider what happens if your machine breaks or you suspect it’s not giving you the best brew possible. It’s always best to have a backup plan for when things don’t go as expected.

If you are renting or leasing a machine, the supplier will often provide a service package. You should check whether there are any additional fees for servicing repairs or if it is included in a service agreement. If you buy your machine outright, you may have to pay an additional fee every month to keep the machine in tip-top condition. If you don’t opt for an ongoing maintenance service, you could be hit with a hefty bill should the worse happen.
